Switching copier and printer providers can be an easy way to save money, reduce downtime, and/or work with better-performing equipment. Although there can be benefits, there are also many risks involved in doing so. It’s important to weigh the costs and benefits before making any changes. In this article, we discuss the reasons many businesses choose to switch providers and the pros and cons of doing so.
There are several reasons why you might need to switch printers and copiers. One reason is that your current provider isn’t providing the services you need at a price you can afford. Another reason is that your current service provider has stopped offering certain products or services. If you are simply unhappy with the level of service provided, it may be time to reevaluate your contract.
Below are a few common reasons we see for customers switching to a new provider:
Okay, so you’re unhappy with your current provider and are worried you are being overcharged. But, you’re in the middle of your service contract. Can you get out of it? The simple answer is, maybe. We recommend discussing your options with your preferred provider, as they may be able to help buy out your current contract and still save you money. They will also have a better understanding of your service contract and what is possible within the terms.
You may think that switching to a new provider will cost you money. However, there are some ways to reduce costs when you switch. For instance, you can use online tools to compare prices between multiple providers. Also, you can negotiate lower rates with your current provider. Finally, you can ask your current provider to match any price offered by a competitor.
If price isn’t the problem and it is service quality that you are looking to have improved, speak with your current provider about your frustrations. Is your machine frequently malfunctioning? Do you have long periods of downtime while waiting for someone to come out and service the machine? Is the service team easy to reach out to? If the situation does not improve, talk to other copier and printer providers to see if it is possible to end your contract early.
The grass is not always greener on the other side. A new company may promise you the world, but deliver subpar service after the contract is signed. It is imperative that you check references, their Net Promotor Score, and research thoroughly before committing to this change. Unfortunately, you get what you pay for when it comes to service and machine quality most of the time. Keep this in mind if the price is the largest factor in the switchover.
